Multi Function Printers: Features and functionalities

Printers are no longer machines that just print documents and images. Multi Function Printers, popularly known as MFPs, can also perform various other related functions such as scan, copy, and in some cases even fax. Renowned tech products magazine, pcworld, recently conducted a test drive to find out the printing needs of offices from various fields. Six popular inkjet MFPs were installed in three very different office to test their performance in the real world.

Each of the offices was given two MFPs which would suit their specific print needs. These printers were tested for a week. The printers used for the research were:

Here are the features that you can look forward to in an MFP as found from the pcworld test drive.

Printer cum scanner: Most MFPs combine the features of printing and scanning for both A4 size and wide documents. Lexmark Genesis printers have an additional FlashScan feature which uses a camera to take a photograph of the image to be scanned resulting in a scanned output almost instantaneously.

Touchscreens: Touchscreens have become a very common feature in printers nowadays. Each brand of printers comes up with its own unique features for the touchscreen. Among printers used for the pcword’s research initiative, Brother MFC-J6710DW lacks a touchscreen.

Web based Apps for Printers: HP and Lexmark are the only brands which offer web-based applications for their MFPs. HP, in partnership with Disney and Dreamworks, delivers features such as printable games, posters, puzzles and so on. MSNBC and yahoo offer news feeds while Bing, Google and MapQuest provide help with maps.

Lexmark’s Genesis on the other hand, has an app called ePrint that allows you to send print jobs to the printer from any device with an internet connection, from anywhere in the world through the printer’s unique email address.

Cloud printing: An amazing feature that has just found its entry into the printer market. You can now print documents and images from your android-enabled phones without driver or connectivity issues.

Automatic double sided printing and automatic document feeder are other features that you might want to look out for. While duplex printing is definitely more environment friendly, it also consumes more time. If your work involves a great amount of faxing then buying a printer with in built features for fax might be a good idea. Ink costs, too, are one of the most important features that you have to consider while choosing an MFP. Most of the printers used in the pcworld test initiative are reasonably priced as far as ink costs are concerned.

MFPs are most suited for small and medium sized offices that look for printers which offer features like scanning and faxing in addition to printing. With the wide range of MFPs now available in the market, you can always find one which suits your needs perfectly.

Lexmark X548dte – printing solutions for midsize workgroups

X548dte is the latest offering from Lexmark. It has been designed for midsize workgroups looking for better color print quality, enhanced paper handling and faster scanning facilities. Printing and scanning are handled by the Lexmark Home software on the PC. This printer also has driver and documentation support for Mac and Linux. Built in features like 550 sheet Duo Drawer with 100-sheet MPF and large hard disk capacity make this printer a very efficient workgroup color laser multifunction.

The text pages are printed at a speed of 14.5 pages per minute (ppm) on the PC and 14.2 ppm on the Mac. The 7-inch color LCD control panel is an excellent model to adjust the printer settings. Consistent color tones are ensured with the help of PANTONE calibration and Named Color Replacement makes color matching easy. The quick color scan option is up to three times faster than the other multifunction printers available in the market. Moreover, scanning to multiple destinations like email, FTP, fax, network and USB can be done with ease. Another notable feature is its secure printing options, which support user authentication and authorization controls like IPSec, SNMPv3 and 802.1x network security.

X548dte has excellent paper handling features. The automatic document feeder can hold up to 50 pages for the scanner. The duo drawer facility comprises of an input tray with 250-sheet drawer and a 550-sheet input tray with a fold down front panel. The option to print on multiple paper types is an added advantage. However, few minor glitches on the design front, like the placement of the output tray and the scanner lid, pose an inconvenience to the user.

Summary

Lexmark X548dte with its excellent paper handling facility and performance can prove to be an invaluable asset for a workgroup.

Lexmark's X792dtpe color laser multifunction printer offers a 10.2-inch, color touch screen designed to help you select and print documents or specific pages within documents stored on the internal hard drive or USB memory devices. It prints at 50 pages per minute in color and black and white, and includes four output options, including a hole punch and staple finisher.

The X792dtpe offers several technologies to help you save energy and conserve paper and toner. For example, you can put the printer to sleep using a Sleep button on the console. You can also select Eco-Mode to print draft output and configure the printer to hibernate when not in use.

The X792dtpe supports diverse media, including card stock, labels, UV-resistant outdoor media, and banners. Under the hood you'll find a 1.2 GHz processor and 1 GB of memory, expandable to 2 GB. The MSRP of $8,861 is steep, but we've seen it offered online in the $6,000 range.

Go ahead — reach out and touch Lexmark's new X925de multifunction color laser printer. The 10.2-inch color console boasts a sleek touch screen from which you can print a full range of document sizes, preview and print documents and images directly from a USB device, and copy, fax and scan.

Lexmark's new MFP enables medium- and large-sized work groups to print on a variety of media (including card stock, transparencies and banners) up to 11.7 x 48 inches and print A4 (8.5 x 11 inch) documents at speeds up to 31 pages per minute in color and black-and-white. The printer uses a 1 GHz processor and ships with all the random access memory it can handle: 1,536 MB.

The X925de includes a hard disk to help perform multifunction operations. Printer software supports hard disk encryption and wiping and enables you to create customizable print forms at the console or from the desktop. But if you want finishing options like stapling and folding, you will have to look elsewhere.

If you and your co-workers are constantly burning up the printer, you might take a second look at the Lexmark C792de. This color laser printer aims to deliver high-resolution color prints to workgroups fast — up to 50 pages per minute — with two-sided printing and high-capacity options for media handling. The printer sports a 4.3-inch touch screen that lets you preview documents and print jobs directly from USB memory, as well as turn on duplex printing and put the printer to sleep or hibernation mode.

The C792de uses a 1.2 GHz processor and 512 MB RAM that's expandable to 1, 524 MB. It features a standard input capacity of 650 sheets, and holds a maximum of 3,200 sheets with optional trays and a stacker. Lexmark C925de Goes Back to (Colorful) Basics

Multifunction printers that also scan, copy and fax can suffer from an identity crisis. Fortunately, that's not the case for Lexmark's new C925de color laser printer. The single-function printer offers black-and-white and color output at a good pace of 30 letter-size pages per minute and covers A3 (letter) and A4 (11 x 17 inches) media up to 11.7 x 48-inch banners.

The C925de has a roomy design that contains two paper trays to load multiple media types and a 4.3-inch color touch-screen console for walkup operations. From the console, you can print directly from USB memory devices, preview print jobs, configure and save forms for printing, and — at the touch of a button — put the printer to sleep. Presto. Touch the screen or any button on the console again and the printer wakes up.

The printer features an 800 MHz processor on board and ships with 256 MB of standard RAM, expandable to 1280 MB. You can back the C925de up to within four inches of a wall and it remains cool and easy to operate. You add memory to the system board from the side and load toner supplies from the front. The printer's output bin rests on top, and an additional 50-sheet feeder opens from the side.

Fast and Cheap All-in-One Color Inkjet Printers Under $200

When the Epson WorkForce 610 (shown above) claimed the crown for the fastest all-in-one color inkjet printer under $200, we had to compare it to other printers in its class. At this moment, the 610's reported 38 pages per minute, 15 pages per minute using the International Standards Organization (ISO) method for measuring digital printer productivity, brings it across the finish line well ahead of the photo finish for second place of other all-in-ones from Dell, Kodak, Lexmark and HP.

Arguably, the Canon PIXMA MX870 is among the photo finishers with a speed rating of 9.4 images per minute using the ISO measurement. Until all the manufacturers use a standard test for printer productivity, speed tests can be difficult to draw comparisons. One thing is for sure, an inkjet printer that prints over 30 pages per minute is pretty darn quick, considering the ink needs to dry on a page before it is laid to rest in the output tray. If you need something faster than one of the printers listed below, look into a laser printer.

Note that each of the all-in-one printers below supports WiFi and all but the WorkForce 610 includes automatic two-sided printing.

Lexmark's new Pinnacle Pro901 all-in-one inkjet printer aims to save you money in ink costs with a cheap $4.99 black ink cartridge (105XL Black, Part No. 14N0822) that yields 500 pages. It will also save you time while waiting for output with fast draft printing of up to 33 pages per minute in black-and-white (30 pages per minute in color).

The Pinnacle Pro901's 4.3-inch color touch screen will not leave you wondering how to accomplish business tasks with the printer thanks to the embedded SmartSolutions, or shortcuts, to complete common scan and print tasks. For example, a one-touch operation can scan up to 8 business cards and add the information to your contact management software. Other shortcuts scan output to Evernote and Stamps.com.

The Pro901 printer has a five-year warranty and runs on Macs, Linux computers, and Windows PCs — but the SmartSolutions shortcuts are only available on the latter.

Buttons are out. Touch screens are in. Lexmark's new T656DNE, a high-volume monochrome laser printer, features a 7-inch color touch screen.

Once upon a time, you only touched your printer to turn it on, clear a paper jam, or insert paper. The Lexmark T656DNE's touch screen may strike some as more sizzle than steak, but if your printer sits in a public place such as a reception area, you can run a promotional slide show on the touch screen when it's not in use. From the touch screen you can also print previously uploaded forms, adjust the printer's settings, choose from among 18 languages, and access your own custom applications.

Beyond the touch screen, you'll find a fast and powerful printer that prints duplex up to 55 pages per minute and has a capacity of 4,300 pages with optional high-capacity feeders and trays. Without all the options, it holds 650 pages and weighs just 53 pounds. With specs like that, the predecessor T650 series can't touch the new T656DNE.
